The ability to change the service selected on an already submitted document is determined by role and system settings.
If you are unable to change the service after following these steps, please reach out to your Administrator to confirm your permissions.
Locate the Document
Go to Documents and use the search and filter options to locate the submitted document.
Alternatively, you can go to the Client Profile and select the Documents tab.
Editing a Service as a User/Clinician
Open the document by clicking the Document ID.
On the left, you will see either Locked or Edit.
If the document is locked and you do not have access to unlock it, please stop here and contact your Administrator.
If you have the required access, unlock the document (if needed) and then select Edit.
Scroll down to the Service dropdown list and select the correct service/modifier combination.
Note:
If you do not see the correct service/modifier combination, reach out to your Administrator to review assigned services.
Administrator Tip
If user/clinicians report that they cannot change a service due to no match in assigned services, review the service/modifier combinations assigned to both the staff and the client.
The combination currently listed in the document must be assigned to both in order to make a valid change.
Editing the Service by Role
The following roles have the ability to change the service code from the document listing (even when the document is locked):
Super Admin, Billing Manager, Admin, and QA
Go to Documents.
Locate the desired document using search and filters.
From the document listing, open the Service dropdown to make your change by selecting the pencil icon.
Important:
You, the client, and the author (if not yourself) must all have access to both the current and the new service/modifier combination.Check the Staff Profile and Client Profile to confirm that both service combinations are properly assigned.
Best Practice:
Always confirm the correct service/modifier combination is active and valid before updating the document to ensure clean billing and compliance reporting.
