Document Settings
Document Settings allow clinics to control how documentation is created, signed, reviewed, and submitted throughout Notenetic.
To access Document Settings:

The Document Settings page contains the following sections:

General Settings
These settings control date restrictions and documentation timeframes.
# of Days Allowed in Past to Submit New Document
Defines how far back staff can select a Date of Service (DOS) when creating new documentation.
Allow Business Days Only
Restricts document dates to business days only.
When enabled, weekends cannot be selected when creating documentation.
# of Days Allowed to Apply Signature After Date of Service
Limits how many days after the Date of Service a staff member can apply their signature.
# of Days Allowed to Apply Signature After Date Locked
Controls how long a staff member has to apply their signature PIN after a document has been locked.
# of Days Allowed to Update a Document
Determines how many days after submission a document may be edited.
Allow Clinics to Input Number of Days for Late Note
Allows clinics to define when documentation should be considered a late note.
Submission Settings
These settings control document creation, signatures, submission requirements, and document behavior.
Staff Can Apply Signature on New Document Submission
Allows staff to sign documents during the submission process.
Allow Staff to Select Signature Date
Allows staff to choose a signature date rather than defaulting to the current date.
Allow Bookending Service Times
Allows consecutive services to share the same start and end time.
Example:
- 8:00 AM – 9:00 AM
- 9:00 AM – 10:00 AM
Show Document History on Print
Includes document history information when viewing or printing a completed document PDF.
Display All Diagnosis on Completed Documents
When enabled, the system reviews the client's diagnosis list and includes all diagnoses with a diagnosis date within two years of the document Date of Service (DOS).
Qualifying diagnoses will display:
- When viewing a completed document
- When generating a PDF
Use Goal Target Date Instead of Goal End Date
Displays goal target dates throughout documentation workflows instead of goal end dates.
Can Submit Document After Business Hours
Allows staff to submit documentation outside normal business hours.
Allow Batch Signatures for Documents
Allows staff to apply signatures to multiple documents at one time.
Restrict Document Submission if Treatment Plan is not Signed by Client/Guardian
Prevents document submission when the client's treatment plan has not been signed by the client or guardian.
Restrict Document Submission if Treatment Plan is not Signed by Staff
Prevents document submission when required staff signatures are missing from the treatment plan.
Allow Documents Addendum
Allows staff to create addendums on completed documentation when additional information must be added after submission.
Remove Signature Automatically When a Document is Unlocked
Automatically removes existing signatures if a document is unlocked for editing.
Show Secondary Payer
Displays secondary payer information within documentation workflows when applicable.
Document Eligibility Settings
These settings determine how the system responds when the client's most recent eligibility check indicates inactive coverage.
Off — No Action Required
No notification is displayed and document workflows continue normally.
On, Notify — Show Notification and Allow Document Submission and Claim Submission
Displays a warning notification while still allowing document submission and claim submission.
Document Similarity Settings
Document Similarity
Allows clinics to identify documentation that is highly similar to previously submitted documents.
Depending on clinic configuration, the system may:
- Display a warning notification
- Allow submission
- Prevent submission until similarity requirements are met
Document Similarity helps support documentation quality and audit readiness.
Note IQ Settings
Note IQ provides AI-powered clinical documentation review and quality scoring.
Show Note IQ
Controls whether Note IQ results are displayed to staff.
Note: Reviews may continue to run in the background depending on clinic configuration.
Enable Note IQ Threshold Automation
Allows clinics to automate workflow actions based on Note IQ scoring thresholds.
Ready to Bill Threshold (%)
Defines the minimum Note IQ score required for a document to receive a Ready to Bill designation.
Approved Threshold (%)
Defines the minimum Note IQ score required for a document to receive an Approved designation.
Not Approved Threshold (%)
Defines the score at which a document receives a Not Approved designation.
Add to Note IQ Prompt
Allows clinics to provide custom instructions that Note IQ should consider when reviewing documentation.
Examples include:
- Program-specific requirements
- Payer-specific expectations
- Internal quality standards
- Required terminology
Character Limit: 500 characters
Changes apply to future Note IQ reviews.
Place of Service Settings
Place of Service (POS) Settings determine which POS codes are available for staff to select during documentation.
Assigning POS codes limits staff to only the approved options selected by the clinic.
Available POS
Displays all available Place of Service codes.
Assigned POS
Displays Place of Service codes currently available to staff.
School Codes
School Codes allow clinics to maintain a list of schools used throughout documentation and billing workflows.
School Name
The name of the school.
School Code
The associated school code used by the clinic or payer.
