Please note: The ability to submit contact notes is based on your role and access level.
If you do not see the Contact Notes option when following the steps below, please reach out to your Super Admin to review your permissions.
Submitting a Contact Note

Go to Clients and use the search or filters to locate the client in question

Click to view the client profile

Select the Contact Notes tab on the left

Click Add Notes
In the contact note modal, complete the following fields:

Staff
-
Contacted (person communicated with)
-
Outgoing/Incoming
-
Date & Time of Contact
-
Method of Contact
-
Contact Note / Description
Click Add to submit the note.
Viewing and Filtering Contact Notes

From the Contact Notes tab within the client profile, you can:

Use the date range filter to narrow the list of notes

View all notes submitted for the client

On the far right of each contact note entry, you’ll see icons to:

Edit the note (if permitted)
-
Delete the note (if permitted)

🔄 Contact logs can be exported to both Excel and PDF formats for recordkeeping or reporting purposes. Look for the export buttons at the top of the Contact Notes section.
Tip: Contact notes are a useful way to track non-session communication with or on behalf of a client—make sure they are detailed and timestamped accurately.
